Use digital signage when a team needs to publish scheduled information to screens. Plan a wider Pro AV system when people must present, hear, collaborate or control multiple sources. Many projects need both. Map the user journey and assign ownership at each boundary before buying a display or a platform.
List the room’s presentation and playback tasks
For a hotel conference floor, the lobby may run scheduled event information while a meeting room switches between a presenter laptop and a remote call. These are different workflows even if both use commercial displays. Write a short task for each space: a visitor finds an event, a presenter shares a slide, a remote participant speaks. Then identify the content source, display, audio path and control needed to complete each task.
Make system boundaries explicit
Separate the network requirements for publishing content from the signal requirements for a live presentation. Ask how a room returns to its ordinary signage mode after a meeting and who can override scheduled content. Record responsibility for power, network access, cable routes and software accounts. A component may function on its own while the assembled workflow fails because two suppliers expected the other to configure the interface.
Agree a handover that operators can use
Ask for a signal diagram, an account ownership list and a recovery sequence, as well as an equipment schedule. Choose verification items from the actual project requirements; AVIXA’s public performance-verification description supports this approach. Do not treat a delivery note as proof that every workflow works. Training should use the installed room and ordinary users, including the staff member who will respond when a source is missing.
Compare requirements
| Project condition | Focus | Evidence to request |
|---|---|---|
| Scheduled notices | Signage workflow | Publishing roles, timing, offline content |
| Live presentation | Pro AV workflow | Source switching, audio, control |
| Mixed-use room | Coordinated workflow | Override rules and return to default |
Procurement checklist
- List user tasks for every room.
- Assign the owner of each interface.
- Document return-to-default behavior.
- Keep account credentials out of shared project briefs.
A practical acceptance task
Run a full event sequence: show the room schedule, start a presentation, join a remote call and return to signage. Record the steps and every manual intervention. Agree which interventions are acceptable before handover.

Understand an integrator’s scope across room AV, signage and support. This helps distinguish equipment supply from installation, commissioning and ongoing responsibility.
