Send a structured scope
Name the space and the problem to solve. Provide a zone schedule, estimated device count, orientations, viewing conditions and language requirements. Include network and power information only where verified; mark the rest for survey. List the content sources and required publishing roles. If a project requires audio, interaction or live presentations, identify those workflows separately so a signage-only quotation does not silently omit them.
Request an answer against every requirement
Ask suppliers to return a requirement-by-requirement response: supported, conditional, excluded or needing a survey. Request exact model references and dated documents for operating conditions. Separate hardware, mounting, installation, CMS licensing, integration, training and service costs. Ask for the term of recurring costs and the ownership of accounts and content. Where a solution depends on a third party, name the interface and who is responsible for making it work.
Agree acceptance before placing the order
Define which user tasks must be demonstrated and which documents must be delivered. Include bilingual readability, expected offline behavior, recovery and service access where relevant. Specify who witnesses tests and how exceptions are recorded. Do not use this planning template as a completed engineering design or compliance certificate. The project team must validate quantities, local requirements and the final technical specification before commercial commitment.
Compare requirements
| Project condition | Focus | Evidence to request |
|---|---|---|
| Confirmed requirement | Buyer evidence | Supplier response and document |
| Condition to check | Survey action | Responsible party and decision point |
| Acceptance task | Observable result | Witness, record and exception process |
Procurement checklist
- Separate recorded facts and follow-up actions.
- Require itemized scope and exclusions.
- Confirm account and content ownership.
- Agree test evidence before purchase.
A practical acceptance task
Give the same brief to two proposal reviewers. Can both find the offered model, recurring costs, exclusions and acceptance plan without asking the author? If not, revise the requirement schedule before comparing quotations. Start with the project workbench, then attach verified site records.
Build a project briefTechnical references & installation scope
Confirm the offered model’s limits and applicable local requirements with the responsible project team.
